Authorizing a faculty search for full-time faculty

  • Step 1: The Department chair submits the New Faculty Search Request Form and sample recruiting advertisement to the Vice Dean for Faculty Affairs.
  • Step 2: The Vice Dean for Faculty Affairs relays the final decision to the Department chair. (See sample email correspondence.)
  • Step 3: The Faculty Affairs Coordinator communicates with the department's faculty affairs contact to complete and submit the Workday PA7 Requisition Form. Note: This document can be submitted as part of Step 1 in anticipation of a positive decision.
  • Step 4: The Faculty Affairs Coordinator initiates the Workday requisition creation process and communicates with the department's faculty affairs staff about the requisition number and position ID.
  • Step 5: While the Workday requisition approval process routes, the department faculty affairs staff member creates the FAM posting, which is kept inactive until the Workday requisition creation process is completed.   • Step 6: Upon a system-generated notification from Workday that the requisition creation process is completed, the Faculty Affairs Coordinator notifies the department faculty affairs member.
  • Step 7: When the timing is appropriate, the department faculty affairs staff member activates the FAM posting and makes live the Workday requisition.
  • Step 8: The Faculty Affairs Coordinator updates the Faculty Recruitment page on Viterbi's web site.

Posting advertisements online

  • The Dean's Office posts a generic faculty recruitment advertisement in mid-August to the Chronicle of Higher Education, SHPE, NSBE, SWE, and minoritypostdoc.org.
  • Departments wishing to post advertisements in academic, trade, and industry publications should write to the Vice Dean of Faculty Affairs with a cc: to Jennifer Alvarado requesting permission to post ads, if the department wants the Dean's Office to pay for the postings.
  • Departments should pay for approved Dean-paid advertisements on the department's P-card. Reconciliation of charges should be charged to the account that Jennifer Alvarado specifies.
